Overview 

The Calendar window allows you to see projects that you are assigned to, keep track of time off and holidays, and check your logged and planned hours from a daily, weekly, and monthly perspective. You’ll also be able to spot days or weeks where you didn’t track time toward tasks or projects.

Below, we’ll explain the views you’ll encounter in your calendar and answer a few frequently asked questions.

Setting Up Your Calendar View

Log in to the Staffer Role Account ➡ Go to the Calendar Tab ➡ Select the types of assignments you want to display ➡ Set up data granulation ➡ Use a Gear icon to set a Default View

Settings

Settings allow you to change how your calendar looks and presents information. Please click the Gear icon in the top right corner to change settings. In the settings window, you can:

  • change the view of days/weeks/months cells to small, medium, or large; 
  • change whether the calendar will auto-extend on scroll or not;
  • Change the view to Planning. In the Default view, you can go back in the calendar as much as you like, but in the Planning view, you will only see the last month and all months ahead.

Every change needs to be confirmed by clicking the Apply button. 

Daily View

The daily view shows you:

  • Daily Capacity
  • Logged Time
  • Public Holidays
  • Time Off
  • Projects you’re working on

Weekly / Monthly View

The weekly/monthly view shows:

  •  Weekly/Monthly Capacity
  •  Weekly/Monthly Logged Hours
  •  Projects you’re working on
  •  Time Off

The most significant difference between daily and weekly/monthly views is that in future views, time off is only shown in the week/month it occurs, meaning you won't automatically see a granular breakdown of days off. You need to hover over your time off to see how much time off you have. The weekly/monthly view also doesn’t show public holidays. To see them, you need to switch to a daily view.

Explaining Assignments

In the calendar, you can check which projects you are assigned to currently, in the past, and in the future. In Foresight calendars, this information is reflected through assignments. Each assignment is represented by a tile, spanning the months your work is scheduled. Assignments are one of the most essential things in Foresight. They show you when and where you are scheduled to work and for how long.

Additionally, assignments help determine the revenue and costs generated by your work. Once your manager has made estimations and plans and assignments, ensure everything is organized for smooth project execution. Below is a summary of key information that helps you understand how your work schedule is organized.

Assignment Types and Designations

In Foresight, we have several types of assignments. We can divide them based on the following:

Assignments Types By Status

It often happens that when planning teamwork, we are not 100% sure of our decisions yet. So, we need to do a simulation, create an initial assignment that is not confirmed and is for testing purposes.

This is why you can find three different statuses of assignments:

And this is how they look on the calendar view:

Active assignment (always filled inside) - This status confirms the assignment. Once set to active, you can log your work on it.

Reserved / Draft assignment (always white inside) - This status means the assignment is not confirmed yet or is part of a simulation. You won’t be able to log work on assignments with this status.

Example:

Let’s say your manager is trying to decide which of two teams is the best financial and technical fit for a project.

One team creates reserved assignments and the other drafts assignments. Using filters, they can then simulate and compare how each team affects the project's budget to make the best decision.

It’s easy, fast, and convenient.

Assignment Types By Billability

You can also see the billability of your assignment. Sometimes, you'll be assigned to non-billable work even in billable projects. In Foresight, this is easy to spot because your manager can mark this work as "non-billable." This lets you and your team track how many hours are spent on billable versus non-billable work.

Billable assignment (without any additional icon) - Your work hours are billed to the client at a set rate in these assignments.

Non-billable assignment (with a slash dollar icon next to the assignment status) - Your work hours are not billed to the client in these assignments.

FAQ

Can I log my time on the calendar?

No. The Calendar window is view only.

Can I request my day off through the calendar?

No. To do this, you must use the Time Off tab. Click here to learn more.

Can I see my other colleague’s calendars?

Staffers can only see their calendars. You need the manager's permission to see calendars for other staffers. 

Can I use the Calendar to see how long I will work on my assignments?

Yes. You can see how long your assignments will take by changing your view from daily to weekly/monthly.
