Scheduled Vs. Actual Use Cases and Benefits

The Scheduled Vs. Actual report will show how your staff used their time and how that compares to their actual submitted working time. This will help you with future work planning and better financial management. In this article, you'll learn the information on the Scheduled Vs. Actual report provides you with which formulas are covered under the data.

Scheduled vs. Actual Report Locations 

In Foresight Connect, you will find two different Scheduled vs. Actual reports:

  • Scheduled vs. Actual Report in the Reports Tab
  • Scheduled vs. Actual Report in the Project’s Profile in the Projects List Tab

Both reports function the same way and display the same financial metrics. However, the Scheduled vs. Actual Report in the Project’s Profile shows data specifically for the project you are managing. In contrast, the one in the Reports Tab provides an overview of all projects across the organization. Access to the report in the Reports Tab requires appropriate financial permissions within your organization.

Scheduled vs. Actual Report in the Project Profile Tab

Log in to the Manager Role in Foresight ➡ Click Projects Tab on the left navigation bar ➡ Click the specific project ➡ Go to the Scheduled vs. Actual section in the project profile

Preparing a Scheduled vs. Actual Report

Choose the right filters ➡ Select the time frame ➡ Choose the types of assignments you want to include in your report

Select the date range for which you want to download data. If the selected staffer didn’t work any hours during the chosen period, they will not appear in the report. 

You can filter by Team Member, Project, and Assignment attributes:

Main Indicators in the Scheduled vs. Actual Report

Each tile has specific calculations, you can review the parameters below:

The sum of input hours (submitted and unsubmitted) for all staff members in the project The sum of scheduled hours for assignment for all staff members in the project The sum cost of input hours (submitted) for all staff members in the project The sum revenue of input hours (submitted) for all staff members in the project

Please remember that depending on the specific line regarding a single assignment, staffer, time entry, client, or project, the data is calculated accordingly based on logs related to a given object in the system.

For example, if we calculate the input hour cost for a given assignment, we use the hours submitted by a given staffer in that assignment. If we look at the row with a given staffer, the input hour cost is calculated based on each time entry and assignment separately, and the input hour cost is a sum of these calculations. 

Configuring Scheduled vs. Actual Report in the Project Profile

You can adjust the period you want to see on the report. It can be: 

  • Whole project
  • Specific month
  • Custom period

Note that the Scheduled diff. (differences) field will show you the differences between the plan and its execution.

Exporting Data

Above the report, you'll notice three buttons with different file type export options.

Download the report with detailed information about staffers’ time entries.

Export Data will allow you to download the report displayed in the application to a file.

Export Expanded will show you more detailed data, such as tracked minutes.

Export Time Entries will retrieve information on working time logged by staffers.

Saving Scheduled vs. Actual Report Filter Settings

In Foresight, you can save filters as favorites. Each time you generate a report for specific dates, the saved set of filters will be automatically inserted, saving you time selecting the appropriate parameters.

Choose the right filters ➡ Click the Save button on the right ➡ Type the title of the filter set

Definitions 

Input Hours Cost - The sum of submitted input hours multiplied by the Cost Rate.

Input Hours Revenue - The sum of submitted input hours multiplied by the Bill Rate. 

Scheduled Diff (Difference) - Total scheduled hours minus logged hours (Scheduled Hours - Input Hours)
