Business Context and Benefits of Managing Staffers
Managing staff members is critical to effective team operations, ensuring that roles, responsibilities, and statuses are clearly defined and aligned with organizational needs. By leveraging features like predefined data fields and tailored permissions, managers can streamline the process of adding, editing, or archiving staffers while maintaining accuracy and consistency. This functionality supports smooth day-to-day management and helps preserve essential financial and project data, making it easier to adapt to organizational changes, such as employee turnover or role transitions. By understanding and utilizing these tools, managers can enhance workforce planning, boost operational efficiency, and contribute to better resource management across the organization.
Required Permissions
As a manager, you must be granted Staff Access permissions to add and remove users: Allow User to Add Staff and Allow User to Delete Staff Members.

Adding Staffers
Not only the administrator can add users. A manager with the appropriate permissions can do this from the Staff List. To add a new employee, follow this path:
Log in to the Manager Role Account ➡ Go to the Staff List Tab ➡ Click the Add Staff button ➡ Fill in the necessary information ➡ Click the Add button to confirm |
Important Notes Before Start
To manage user profiles effectively, it’s essential to know that some fields, such as default role, status, seniority, and department, rely on predefined configurations in the Data Fields section of your organization’s settings. The configurations in Data Fields determine the options available for these fields.
- Fields like Default Role, Status, Seniority, and Department cannot be customized on the fly. Instead, changes or additions to these options must be made in Data Fields within your organization’s settings.
- Ensure the necessary configurations are in place in Data Fields to enable the desired options when setting up or updating user profiles.

Editing Staffers
After adding a New Staff Member, all information about them will be available in the Staffer Profile, where all data can be edited. Follow this path to access the Staffer Profile and edit the employee's details:
Log in to the Manager Role Account ➡ Go to the Staff List ➡ Click Staffer’s Name ➡ Go to the Profile Section to edit any staffer’s data ➡ Click Save button to confirm changes |
Archiving Staffers
Deleting an employee from the system should be a last resort, as it involves removing all financial data. It is more advisable to deactivate the employee, marking them as inactive while preserving their assignments and the financial results they generated.
Managing employee records in Foresight Connect involves a structured approach to archiving, ensuring data integrity while maintaining accurate project and financial records. The process consists of three key steps:
1. updating the employee's status to "archived",
2. adjusting their contract details (learn more: Lesson 4 - Staffers’ Contracts in Foresight Connect)
3. modifying their active project assignments as needed (learn more: Duplicating, Cutting, and Connecting Assignments: Right-Click Actions on an Assignment Tile)
This method allows for seamless record-keeping without losing critical historical data and maximizes personalization.
Archiving an employee is made possible through the predefined Status field in Data Fields. If you have not yet configured your Data Fields, follow this path:
Log in to the Manager Role Account ➡ Go to the My Company Tab ➡ Go to the Current Statuses Section ➡ Click the Add button |
When adding a status, check the box Items attached to this status are inactive.
Adding Returning Staffer Back
Sometimes, an employee may take extended leave, such as a year. In such cases, it is recommended that they be deactivated following the instructions in the Archive Staffers section and then reverse the action upon their return.
To mark the user as active, follow this path:
Log in to the Manager Role Account ➡ Click staffer’s name ➡ Go to the Profile section ➡ Change Status |
Deleting Staffers
You have the option to delete an employee if necessary. However, deleting them will remove all the assignments, and financial data they have generated.
To delete an employee, follow this path:
Log in to the Manager Role Account ➡ Click staffer’s name ➡ Click the Delete button in the top-right corner ➡ Confirm Deletion |
