Time Off Use Cases

One of Foresight Connect's unique benefits is tracking employee PTO, sick leave, parental leave, or other types of time off. Managers and administrators can either approve or reject time off requests submitted by employees they oversee from the Time Off tab in Foresight.

Navigating to the Time Off Tab

Log in to your Manager Role Account ➡ Click the Time Off tab in your left navigation bar

Understanding Time Off Tab

The Time Off tab is divided into two sections: Time Off requests in the boxes at the top, and a detailed table below. The boxes at the top display pending requests—those awaiting your approval or rejection. All other requests are listed in the table below.

While the table shows requests from all employees in the organization, the pending requests at the top only include those from employees you manage as a Time Off Manager. Below is an overview for managing time-off requests:

Time Off Request Statuses

In Foresight Connect, you will find 5 time off request statuses. 

  • Pending: The request is waiting to be approved or rejected.
  • Accepted: The request has been accepted by a manager.
  • In Progress: The period that your employee requested off has already begun.
  • Rejected: The request was rejected by a manager. 
  • Retracted: You applied for time off but changed your plans. In this case, you can withdraw your request, which will change its status to Retracted. The same applies to your employees.

Turning on Request Notifications

Users with manager rights will always receive email notifications when an employee submits a request. Employees only receive one if they have Time Off Updates checked under the Notifications section in the My Account tab.

Accepting Time Off Requests

Only managers assigned to specific staffers can accept their time off requests.

To assign a time off manager to a given employee, go to the People tab in your navigation sidebar, open the employee’s profile, and go to the General tab. At the top, you will see a field labeled Time Off Manager. If you choose several managers, each of them will have to accept a given request for it to be approved.

There is one exception to this rule. If you are a manager with the “Managing time off requests” user right toggled on, you have this ability, too, even if you haven’t been assigned as a time off manager to a given employee. 

Automatic Acceptance of Time Off Requests

If staffers aren’t assigned a time off manager, their requests will be accepted automatically.

Acceptance of Time Off Requests During Manager’s Absence

You can set a substitute manager in your profile settings. After setting your substitute, requests from all people to whom you are assigned as a time off manager will not be sent to you but to the person you indicate.

NOTE: A substitute manager should be set ASAP before your planned absence. If not, you’ll still be responsible for approving those requests.

Remember to remove the substitute manager from your profile when you return from vacation. This will return all the responsibilities from your substitute manager back to you.

Checking the Number of Absent Days a Staffer Has Used

You can see how much time off an employee has already used by opening the People Tab from your navigation sidebar. Open your chosen employee’s profile and go to the Time Off Tab.

Adding people's absences in Foresight provides you with more accurate data about their availability and utilization level.

The only difference between the employee experience and the manager experience is that only managers can add time off types. To create a new time off type for the whole organization, go to the My Company tab from your main navigation sidebar and then open the Time Off Types tab.

Requesting Time Off as a Manager

You can do so with the appropriate permissions in your Foresight user rights settings. If you can access both views, you can switch between the Manager and Employee views in Foresight by clicking on the THREE DOTS next to your profile name in the navigation sidebar. Troubleshooting: How do I change my view in the Time Off Tab? 

Unfortunately, you can’t change the view in the Time Off window. However, you can filter your time off requests by going to the Calendar tab in your navigation bar and opening the sub-tab labeled People. 

Troubleshooting: Editing Time Off Requests when I add them as a manager

If you add time off requests on your staffers' behalf, you can edit them as needed. To do this, go to the Time Off Tab, locate the request that requires editing, and click the button. Click Edit to continue.
