The Team Members Calendar in Foresight Connect is essential for managing team schedules and monitoring resource utilization, offering a centralized view of assignments and workloads. Designed for flexibility, it allows managers to customize the calendar with filters, grouping, and sorting options to focus on specific data types, such as assignment details or utilization rates. Managers can adjust settings to change how scheduled hours are summarized, ensuring clarity in tracking team productivity. By leveraging the Team Members Calendar, organizations can optimize resource allocation, improve team coordination, and enhance operational efficiency, ensuring smooth project execution and balanced workloads.

If you’re already in Foresight, you can get to the Team Members Calendar by clicking the Calendar tab in your main navigation sidebar and then clicking the Team Members sub-tab below.

Setting Up Your Team Members Calendar

You have many options when it comes to customizing your Calendar view. You can set filters so it only displays certain data types, or you can change the date range you’d like to see. You can:

  • Choose your view type
  • Choose data granulation
  • Set up the number of results per page
  • Set up data sorting
  • Choose filters
  • Choose assignment types you would like to see 
  • Set up data grouping as needed

Changing How Bars Summarizing Scheduled Hours Are Counted on the Calendar

If you want to change how the calendar bar graph summarizes the status of scheduled hours. You can do so by opening My Settings and checking off the appropriate boxes in the Scheduled Utilization Settings section.

Explaining "Grouping Disabled" 

If you select the “grouping disabled” sorting option in your calendar, all assignments will be sorted by date from oldest to newest. The calendar will fill in one line with as much data as the calendar view will allow, considering the order in which assignments were created.

Mega Heat Map Without Scheduled Utilization

This view highlights the availability and capacity of team members, showing key metrics such as remaining availability, scheduled time versus capacity, and actual input versus scheduled assignments. It helps in understanding resource allocation and planning workload more effectively.

This view expands on the previous one by incorporating scheduled utilization metrics (Year-to-Date). It provides a comprehensive analysis of availability, capacity, and actual time usage compared to planned schedules. This view provides a firm-wide overview of who is out of the office due to time off or public holidays. It helps in managing team availability and ensuring projects are not disrupted by unforeseen absences. Ideal for HR and project managers to plan resources efficiently.
