Project Calendar Use Cases
The Projects Calendar in Foresight Connect is a robust tool that simplifies project management and resource planning by offering a centralized, customizable view of assignments, schedules, and utilization. It gives managers enhanced visibility into project timelines and team workloads, allowing for efficient tracking of tasks and resource allocation. The flexible filtering, grouping, and settings options of the Project Calendar make it easy to display only the most relevant data, enabling users to focus on critical information. By leveraging the Projects Calendar, organizations can optimize resource management, enhance operational clarity, and ensure projects are executed efficiently and on time.
Navigating Projects Calendar in the System
You can access the Project Calendar by clicking the Calendar Tab in your main navigation sidebar and then clicking the Projects below.
Differences Between Team Members and Project Calendars
Setting up a Projects Calendar is the same as setting up a Team Members Calendar, except for a few differences. First, filtering by the time frame in the Projects Calendar is impossible—no bars aggregate data by availability, capacity, or other fields. Finally, in the Projects Calendar, you will find assignments for specific staffers, but you will need to see a summary of their completion.
Setting Up the Projects Calendar
You have many options when it comes to customizing your Projects Calendar view. You can set filters so it only displays certain data types, or you can change the date range you’d like to see. You can:
- Choose your view type
- Choose granulation
- Set up the number of results per page
- Set up data sorting
- Choose filters
- Choose assignment’ types you would like to see in the calendar
- Set up data grouping if it’s needed
Filtering in the Projects Calendar
One element of this view is the search bar, which allows you to filter the data you need. Read the article to learn more about how filtering in Foresight works.
Changing How Scheduled Hours Are Counted on the Calendar
If you'd like to change how the calendar bar graph summarizes the status of scheduled hours, open My Settings and check off the appropriate boxes in the Scheduled Utilization Settings section.
Below, you can see the steps that will take you to this section:
Saving Calendar Settings for Future Use
If you’d like to save certain calendar settings, you can do so by adding them to your “favorites”. To do this, click the Disc icon in the upper right corner of your screen.
Explaining “Grouping Disabled” Option
If you select the “grouping disabled” option in your calendar, all assignments will be organized by date from the oldest to the newest. The calendar will fill in one line with as much data as the calendar view will allow, considering the order in which assignments were created.
Custom Calendar Views Examples
Project Calendar with Client Info (Master Gantt Chart)
This view combines project schedules with client details, allowing you to identify gaps in client/project work efficiently. It is ideal for ensuring balanced resource allocation and meeting client commitments while maintaining visibility over overlapping tasks.
Project Calendar (Master Gantt Chart)
This view focuses on overall project timelines without client-specific details, making it easier to spot gaps or overlaps in project schedules. It is particularly useful for high-level planning and aligning team resources with project demands.
